The following Terms of Services (TOS) shall govern the relationship with all visitors and users of this online registration product and related services. By using this site to access information about, manage, or register for a conference program or related event you agree to these terms of service.
Terminology: RegValet shall hereafter be referred to as “Service,” while all visitors and users of the site will hereafter be referred to as “User(s).” “Client” will be used to refer to the third party who has contracted for registration services on behalf of a specific conference program.
Limitations: Reg Valet provides customized online registration services by contract. If you have been directed to this site, an agreement with the conference or event you are planning to attend has been made either directly or through a third party organizer of that event. All non-registration concerns about the conference or event should be directed to the organizer or host.
Privacy: All information gathered from Users is subject to the privacy guidelines published on this site. Use of this information by Client is restricted to said privacy policies unless Users are explicitly notified in writing of Client policies prior to registration, or written permission of Users is obtained.
Access: User is granted access to Service through its online form specifically created for Client’s program for the sole purpose of registering for the conference program. No user account is established and no ongoing use is implied. All Users should register individually. All changes to registration information and options should be directed to Service Support through the email address provided with your confirmation materials.
Content: All materials, data, design, and other commercial site development is protected by copyright and the intellectual property of Services.
Modification: Service reserves the right to modify terms or conditions of this TOS at any time.
Limitations: Reg Valet provides customizable online registration forms and experiences for Clients upon request and by contract only. All content specific to web form, database, design, and other infrastructure remains the sole property of Services. Services will provide access to Client and Client’s Users for a specified period of time as defined by contract. No ongoing permission is implied.
Design Limitations: Customization of the online form, system, and reports is limited to those items identified during the needs assessment phase and outlined by contract. Additional changes after initial roll-out may not be possible, without incurring additional charges.
Privacy: All information gathered from Users in order to fulfill this registration contract is subject to the privacy guidelines published on this site. Use of said information by Client is restricted to said privacy policies unless Users are explicitly notified in writing of Client policies prior to registration or written permission is obtained.
Access: Service will provide reports as outlined by contract and within 3 business days of new requests. Report options may be limited to those specifically requested during the design phase. In the event that our contract provides access to conference registration data, such access will be limited to viewing through online registration management system; no direct access to the database will be provided. Such access will be provided via a “user” account, limited to the specific party assigned, and be password protected. Reports and registrant contact information will be available to Client for up to 30 days following completion of conference program. Information will subsequently be archived and may not be available after that time.
Product: Client is responsible to assist with testing product before registration opens and provide feedback about necessary changes and functionality to assure accuracy of product. Service is responsible for providing link to product/on-line form and assisting with development of written registration/cancellation policies to assure product adheres to said policies. Service will provide periodic audit of accounts, monthly financial updates, and a final audit and financial report upon completion of the program.
All other services are to be outlined by contract, and may include, but are not limited to, daily support; hand-processing of VIP registrations; telephone, fax, and mail interaction with Users; name badges, tickets, and other supplies; class lists; and on-site registration management.
Content: Every effort will be made to create an appearance congruent with the design of Client’s conference web pages if desired, and a seamless experience made possible for Users through links from those pages. With the exception of logos, designs, and other images provided by Client, all materials, data, online appearance, and other commercial site development is protected by copyright and remains the intellectual property of Services.
Termination: Violation of contract agreement or disregard for User privacy may result in termination of access to Service product and Service assistance. Client will be contacted first to attempt to resolve differences in order to limit disruption to Users. In the event termination becomes necessary, and legal action is taken, both Client and Service agreed to binding arbitration in the State of Utah.
Modification: Service reserves the right to modify terms or conditions of this TOS at any time. Client will be notified via email of said changes.
